Wycombians Organise ("we", "us") is a non-partisan, volunteer-run community group for High Wycombe. This policy explains what information we collect through this website, why we collect it, and what rights you have over it. We try to collect as little as we can.

Who we are

Wycombians Organise is the data controller for the information described below. We are a volunteer group, not a registered company.

What we collect, and why

We only collect what you actively choose to give us, through three forms on this site.

The legal basis for all of this is your consent: you actively fill in and submit a form. You can withdraw that consent at any time (see "Your rights" below).

What appears publicly, and what does not

This distinction matters, so we want to be clear about it.

  • Published on the site: for directory listings, the group name, category, area, link and description.
  • Never published: the name and email of the person who submitted the listing, everything in the volunteer bank, and every mailing list address. These are only ever seen by our volunteer organisers.

What we do not collect

We do not ask for, and ask that you do not send us, special category information (things like health, ethnicity, religious or political beliefs, or sexual orientation). We do not make any automated decisions about you, and we do not profile you.

Age

Our volunteer bank and mailing list are intended for people aged 16 or over. If you are under 16 and would like to get involved, please ask a parent or guardian to contact us on your behalf.

Cookies and tracking

We do not use cookies or any tracking technology to monitor visitors. The only thing this site stores in your browser is a single yes or no flag remembering that you have entered the site's preview password. It holds no personal information and is not shared with anyone.

Where your information is stored

Submitted information is stored in a database provided by Supabase, hosted in Supabase's West EU region. Supabase acts as our data processor: they store the data securely on our behalf and do not use it for their own purposes.

Access controls on our database mean the public website can only add new entries. It can never read, change or delete existing entries, including your own submission, so your details are not exposed to other visitors.

Only Wycombians Organise volunteer organisers can view submitted entries, through a private, password-protected dashboard, in order to review directory listings before publishing and to contact volunteers and mailing list subscribers.

Transfers outside the UK

Because our database is hosted in the EU, your information is processed outside the UK. The UK Government has determined that the EEA provides an adequate level of protection for personal data, so no additional safeguards are required for this transfer.

Some of the supporting services listed in the next section are based in the United States and may process technical data such as your IP address there. Where that happens, those transfers rely on the UK Extension to the EU-US Data Privacy Framework, or on the International Data Transfer Addendum to the European Commission's standard contractual clauses.

Other third-party services this site uses

Beyond Supabase, a few other services are involved in running this site. None of them receive the contents of what you submit through our forms.

  • Google Fonts. This site loads its typefaces from Google's servers, which means your browser makes a request to Google and shares your IP address in the process, in the same way as any website using Google Fonts.
  • OpenStreetMap. The directory map loads map tiles from OpenStreetMap's servers, which similarly receive your IP address while the map is on screen.
  • Vercel. This site is hosted on Vercel, which processes standard web server logs, such as IP address and browser type, as part of serving the site to you.

We do not use advertising networks, analytics trackers or social media pixels, and we do not sell or share your information with anyone for marketing purposes.

Our emails

If you join the mailing list, every email we send will identify us as the sender and carry a one-click unsubscribe link. We will never pass your address to another organisation, and we will not use it to send you anything other than Wycombians Organise updates.

Built with AI assistance

In the interest of being upfront about it: this website was built with the help of an AI coding assistant (Anthropic's Claude). AI tools were used to help write the site's code and content during development.

AI is not used to process, read or make decisions about the personal information you submit through our forms. That goes straight into our database and is reviewed by a human volunteer.

How long we keep it

  • Directory submissions are kept while the group is active and listed, or until you ask us to remove it. We review listings roughly once a year and remove groups that appear to have folded.
  • Volunteer bank details are reviewed every 24 months. If we have had no contact with you in that time, we delete your entry.
  • Mailing list addresses are kept until you unsubscribe or ask us to remove you. We also remove addresses that have not opened anything from us in two years.

Your rights

Under UK data protection law, you have the right to:

  • Access the information we hold about you
  • Correct it if it's inaccurate or incomplete
  • Delete it (the "right to be forgotten")
  • Withdraw consent at any time, for example by unsubscribing from the mailing list or leaving the volunteer bank
  • Object to, or ask us to restrict, how we use it
  • Receive a copy of what you gave us in a portable, machine-readable format, or ask us to send it to someone else

To exercise any of these, email hello@wycombians.org.uk and we will sort it out. We aim to respond within a few days and must respond within one month.

If you are unhappy with how we have handled your information, you have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk or on 0303 123 1113.

Changes to this policy

If how we handle your information changes meaningfully, we will update this page and change the "last updated" date at the top.
